Position Summary
The Receptionist serves as the first point of contact for patients, caregivers, referral sources, and healthcare providers. This role is responsible for providing exceptional customer service while managing front desk operations, coordinating communication, and supporting the clinical and administrative teams to ensure efficient daily operations.
Essential Responsibilities
- Greet patients, visitors, and vendors in a professional and courteous manner.
- Answer and direct incoming telephone calls promptly and accurately.
- Schedule patient appointments and coordinate changes or cancellations.
- Verify patient demographic and insurance information.
- Receive, sort, and distribute incoming mail, faxes, and electronic referrals.
- Maintain patient records and scan documents into the electronic medical record (EMR).
- Coordinate communication between patients, nurses, pharmacists, physicians, and referral sources.
- Monitor and maintain the reception area to ensure a welcoming and organized environment.
- Process incoming deliveries and notify appropriate staff.
- Assist with patient intake forms and obtain required signatures.
- Support office staff with filing, copying, data entry, and other administrative tasks.
- Maintain confidentiality of all patient information in accordance with HIPAA regulations.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma or GED required.
- Minimum of one year of receptionist, customer service, or administrative experience; healthcare experience preferred.
- Experience in an infusion pharmacy, specialty pharmacy, physician office, or medical practice is preferred.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Proficiency with Microsoft Office and electronic medical record (EMR) systems.
- Ability to work independently while collaborating effectively with a multidisciplinary team.

- Knowledge of HIPAA privacy regulations.

Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Frequent use of computers, telephones, and other office equipment.
- Ability to occasionally lift up to 20 pounds.
